Hire Terms and Conditions

Thank you for choosing Style Lighting Co. Please read these terms before confirming your booking.

1. Definitions

Owner, we, us or our: Style Lighting Co.

Hirer, you or your: The person, business or organisation making the booking.

Equipment: All hire items and accessories supplied by Style Lighting Co, including lighting, candles, candle holders, lamps, shades, bulbs, cables and packaging.

Dry hire: Equipment collected, set up and returned by the Hirer, without installation by Style Lighting Co.

2. Bookings and Availability

All equipment remains the property of Style Lighting Co.

Quotes are generally valid for 14 days unless otherwise stated. Availability is confirmed when we accept your booking and receive your deposit.

By paying the deposit, you confirm that you have read and accepted the terms supplied with your quote.

If a booked item becomes unavailable, we will contact you to agree on a suitable alternative. If no suitable alternative can be agreed upon, we will refund the amount paid for the unavailable item.

3. Prices and Minimum Hire

All prices are in New Zealand dollars and include GST.

The minimum dry-hire spend is $50, excluding delivery and collection. Installation services and individual packages may have different minimum spends, which will be stated in your quote.

Collection and return to our Northcote Point base are free of charge, by appointment.

Delivery, collection, installation and packdown are additional unless expressly included in your quote.

The price agreed in your confirmed booking will remain unchanged unless you request changes or approve additional services or charges.

4. Hire Period and Returns

Our standard hire period is four days unless otherwise agreed in writing.

Your booking confirmation will specify your collection or delivery date and your return or collection deadline. These agreed arrangements take priority over our usual pickup and return times.

Collections are generally arranged for Thursday evenings or Friday mornings. Returns are generally arranged for Monday by 5 pm or Tuesday by 10 am.

Please request extensions as early as possible, preferably at least seven days before your agreed return date. Extensions are subject to availability and may incur an additional charge, which will be confirmed before approval.

If you expect to return items late, contact us immediately. Any additional hire charges will be explained and must reflect the reasonable costs arising from the delay.

5. Deposits and Payment

A 50% deposit is required to secure your booking.

The remaining 50% balance is due 14 days before the event, unless otherwise stated in your quote.

Bookings made within 14 days of the event require full payment to secure the booking.

If payment is overdue, we will contact you and provide a reasonable opportunity to pay. Equipment will not be released or installed until the required payment has been received.

Deposits are generally non-refundable for cancellations by the Hirer, subject to Section 8 and any refund rights under New Zealand law.

Please use your invoice number as the payment reference. International customers are responsible for ensuring the full invoiced amount reaches our account after any transfer fees.

6. Delivery, Collection and Installation

Delivery and collection charges start from $50 within Auckland. The applicable charges, including travel outside Auckland, will be confirmed in your quote.

Please provide accurate venue details, access arrangements and any relevant restrictions before booking. This includes stairs, parking, loading access and permitted installation or collection times.

You are responsible for arranging venue permission for the booked equipment and services.

Any additional work or costs arising from changes to the agreed arrangements will be discussed with you before proceeding.

Equipment installed by Style Lighting Co must not be moved, altered or dismantled without our approval.

7. Viewing Our Collection

Viewing is available by appointment.

We are happy to provide additional photographs, measurements and product details by email, or arrange a video call where practical.

8. Booking Changes, Postponements and Cancellations

Please submit all changes or cancellations in writing.

Changes to Your Order

Changes to quantities or items may be requested up to 90 days before the hire period begins, subject to availability. We will issue an updated quote and payment schedule where necessary.

Changes requested within 90 days will be considered individually. Reductions may not be possible where equipment has already been reserved or costs have been committed. Any resulting charges will be explained in writing.

Postponements

If you need to change your event date, we will endeavour to transfer your booking and payments to a new date, subject to availability.

Any changes to equipment, services or pricing will be discussed and agreed upon before the revised booking is confirmed.

If we cannot accommodate your new date, the cancellation provisions below will apply, subject to your legal rights.

Cancellations

The 50% booking deposit is generally non-refundable when you cancel, as it reserves equipment and event capacity.

Any amount retained must be reasonable in light of our actual losses, committed costs and ability to rebook the equipment. We will explain any cancellation charges and refund amounts that exceed those reasonable losses.

Any balance paid above the deposit will be refunded, less any additional reasonable and evidenced cancellation costs. We will not recover the same loss twice.

Events Outside Either Party’s Control

If a natural disaster, government restriction or another event outside either party’s reasonable control prevents the booking from going ahead, please contact us promptly.

We will discuss available options, including postponement or an agreed credit. Any cancellation charges or refunds will take account of services already provided, reasonable costs incurred and applicable New Zealand law.

If Style Lighting Co cancels or cannot supply the agreed services, we will refund payments for the equipment or services we cannot provide, without limiting any other rights you may have.

9. Dry-Hire Bond

A minimum $100 refundable bond applies to all dry hires. A higher bond may apply to larger bookings or particular items and will be stated in your quote.

The bond will be refunded within seven days after all equipment has been returned and inspected.

Reasonable costs for missing items, damage or additional cleaning may be deducted from the bond. We will provide details of any deduction.

If those costs exceed the bond, the remaining amount may be invoiced separately.

10. Equipment Care, Damage and Loss

You are responsible for taking reasonable care of the equipment from the time it is handed over to you or delivered to the agreed venue until it is returned or collected.

Please check the equipment on receipt and notify us promptly of any missing items, faults or existing damage.

Equipment must be protected from rain, moisture, excessive heat and other conditions for which it is not suitable.

You are responsible for loss or damage caused by misuse, failure to follow supplied instructions, or failure to take reasonable care by you or people using the equipment at your event.

Fair wear and tear, pre-existing damage, equipment faults and damage caused by Style Lighting Co are excluded.

Repair or replacement charges will be reasonable and supported by details of the damage or loss. Replacement charges will take account of the item’s age and condition.

Please do not repair, modify, rewire or dismantle equipment without our approval.

11. Candle and Open-Flame Safety

You must confirm that your venue permits candles and open flames before booking, and follow its requirements.

Candles must:

  • Be placed upright on stable, heat-resistant surfaces.

  • Be kept clear of flowers, foliage, fabric, decorations and other combustible materials.

  • Be positioned away from draughts, table edges, children and pets.

  • Remain in their supplied vessels or approved holders.

  • Be supervised whenever lit.

  • Be fully extinguished before the area is left unattended or the event closes.

Allow candles and vessels to cool completely before moving or packing them. Never move a candle while it is lit or while the wax is liquid.

Do not add wax, fragrance or other materials, or remove wicks from supplied candles.

Unless we instruct otherwise, return hired candle vessels with any remaining wax in place. We manage routine wax removal and cleaning. Please do not scrape the glass or use boiling water to remove wax.

The Hirer must arrange for a responsible person to supervise and extinguish candles, unless this service has been expressly included in the booking.

12. Portable Table Lamps

Portable lamps must be used, assembled and charged according to the instructions supplied.

Use only the supplied or approved bulbs, batteries, chargers and accessories. Do not change electrical components without our approval.

Unless specifically identified as suitable for outdoor use, lamps must be kept indoors and protected from rain and moisture.

Battery runtime varies with brightness settings and use. Please discuss your event duration with us before booking so we can advise on suitability.

Keep lampshades clean and dry, and avoid contact with food, drinks, candle flames and dripping wax.

Return all bases, shades, bulbs and accessories in the packaging provided, packed according to our instructions. Where supplied separately, shades and bulbs must be repacked separately as directed.

13. Electrical Equipment and Safe Use

Electrical hire equipment is checked and maintained, with testing and tagging carried out where applicable.

Follow all supplied instructions and use equipment only for its intended purpose.

Do not overload power points, alter wiring or use indoor equipment outdoors.

If an item appears damaged or develops a fault, stop using it and contact us promptly. Do not attempt repairs yourself.

14. Return Condition and Packaging

Please return all equipment and accessories in the condition received, allowing for fair wear and tear and normal use of supplied candles.

All boxes, protective wrapping and other supplied packaging must be returned.

Additional cleaning charges may apply where items require cleaning beyond normal hire use, such as staining, food residue or damage to lampshades. Any charge will reflect the reasonable cleaning cost.

15. Your Rights

These terms are governed by New Zealand law.

Nothing in these terms excludes or limits rights or remedies available under the Consumer Guarantees Act 1993, the Fair Trading Act 1986 or other applicable legislation.
